The EUIPO (European Union Intellectual Property Office) is the agency responsible for registering and protecting trademarks and designs across all 27 countries of the European Union. When you need to submit an EUIPO-issued document in a country outside the EU—such as a certified copy, an extract from the register, or documents from a case file—it is very common for the authority to require the document to be legalized.
This legalization is not carried out by the EUIPO itself. It is performed by the Representation of the European Commission in Spain, based in Madrid, which is the only body authorized to authenticate the signature on an EUIPO document.
⏺️ Which documents usually require legalization?
The EUIPO issues different types of official documents related to trademarks and designs. Many non-EU countries do not accept these documents directly and require them to be legalised in order to recognise their validity. The most common documents are:
- Certified copies of trademark or design applications.
- Certified extracts from the EU Trade Marks Register or the Community Designs Register.
- Certified copies of documents contained within an EUIPO case file.
If the destination is a country outside the EU, many authorities will require legalisation to consider the document legally valid.

Although the procedure is relatively straightforward, it requires attention to detail:
- Obtain a certified copy of the document issued by the EUIPO.
- Legalize the document at the Representation of the European Commission in Madrid.
- Once legalised, some countries may require additional steps, such as:
- Legalization by the Spanish Ministry of Foreign Affairs.
- Legalization and/or certified translation at the embassy or consulate of the destination country.
💡 EUIPO documents cannot receive a Hague Apostille, because the European Union is not a party to the Apostille Convention. Therefore, when the receiving country requires international recognition, the correct route is diplomatic legalization.
